How to create and manage a work order When a client asks for a special project to be completed that will take more than an hour of programming we will create a work order. The creation of the work order will happen after you receive all the details on the project and speak with the programmers on the time estimate. Once you have the time estimate and the details you will head into the Client Access section of Prodigix, once on the admin.asp page you will see in the top middle of the screen a Work Order Wizard, fill out the work order wizard form and select "create work order", this will supply you with a work order ID. Once you have the time and details and the work order ID you will head to .11/C$/customers and find their client folder. Within their client folder they will have a folder named WorkOrders. Within this folder there will be a document named wo__.docx, this file will need to be opened and updated with all the details of the new project. NOTE: Files exported to PDF will be saved in this format wo_1234_testproject.pdf Once you have the saved PDF file you will want to open DocuSign and send the work order to the client. Once the document has been signed save the document to the .11/C$/Customers client folder where the original PDF was created and add SIGNED to the end of the file for the records. NOTE: Files exported to PDF will be saved in this format wo_1234_testprojectSIGNED.pdf With the work order signed you will be creating the order on .74 and adding item ID 3001, update the price and add to the public note the WO number as well as the work order description. You will then bill the %50 down payment for the project. Once the project is complete you will need to post the order for final billing.
